Software for Conferences

The IEEE NPSS works with several different conference software products. All of them have the full functionality for a conference. The capability of the software may differ depending on the size of the conference. The tasks that need to be handled for a conference are:

For small and medium-size conferences the tool: “Indico” is very useful. For larger conferences, a new software tool, “Contxt/Eventclass,” is now in use (such as for NSS/MIC). A new tool is “ExOrdo” which is under test for the ICOPS21 and PPC21 conferences.

In general:

Indico

  • Maintained at CERN and heavily used in high energy physics community
  • Main features for conference easy to use included: abstracts, agenda, upload of talks, roles
  • Statistics of conference
  • Slide repository to cache files online and offline
  • Software free of charge for implemented features
  • New features discussed with Indico team at CERN and will be included
  • Mobile App (3rd party 150 Euro)

Contxt/Eventclass

Online Registration

  • Mature modular system for all meeting and conference sizes (i.e. statistics, role-based access for the organizer, limits, waiting lists, etc.) with available add on modules (e.g. exhibition registration, voucher management for grants. connectivity to abstract management, etc.)
  • Directly connected to IEEE membership database (verification of IEEE members)
  • Meets all (new) standards regarding Security and Data Protection
  • Secure Credit card payment engine
  • Conferences can be processed in all major (local) currencies (USD, EUR, GBP, AUD, SGD etc.)

ExOrdo

  • ExOrdo is maintained by ExOrdo.com, Ireland
  • Main features are
    • Abstract submission by authors
    • Process for managing submissions and scheduling the program
    • Communication with authors
    • Mechanisms for sharing program information with attendees (website, app, etc.)
    • Manuscript submission by authors, interface to IEEE Xplore
  • Pricing per event, per submission, for data synchronization, for mobile app. Details can be obtained from IEEE MCE (ieee-mce@ieee.org )
  • ExOrdo pricing model has two types of approaches for customers; solo license purchase per event or a multi-license model. With ExOrdo the pricing and payment model is based on expected submissions and not actualized with full payment due upon signing.
