The IEEE NPSS works with several different conference software products. All of them have the full functionality for a conference. The capability of the software may differ depending on the size of the conference. The tasks that need to be handled for a conference are:

For small and medium-size conferences the tool: “Indico” is very useful. For larger conferences the so-called “Bo Yu”-tool developed by the NPSS may be used. A new software tool, “Contxt/Eventclass,” is now in use.

In general:

  • Maintained at CERN and heavily used in high energy physics community
  • Main features for conference easy to use included: abstracts, agenda, upload of talks, roles
  • Statistics of conference
  • Slide repository to cache files online and offline
  • Software free of charge for implemented features
  • New features discussed with Indico team at CERN and will be included
  • Mobile App (3rd party 150 Euro)

Contxt/Eventclass

  • Core features:
    • Collect requests and applications for awards, grants, and visa
    • Collect applications for reviewing
    • Review and management of abstracts
    • Review criteria are adaptable for individual needs
    • Interactive online program building process
    • Integrated communication tool for mass and individual e-mails
    • Export of relevant data as csv, xls, json or pdf
    • Submission of abstracts (>2500)
    • Individualized statistic and dashboards for all roles and layers (Reviewer, Topic Convenor,..)
    • Upload of presentation
    • Multi-language capable
    • Extremely adaptable system to meet individual needs
    • Costs to be discussed with EventClass GmbH Setup costs 4500 Eur, 4.90 Euro/submitted abstract (based on 1500 abstracts)
